Meet Volunteer Job Descriptions

Meet Setup (Home Meets Only): Must be at the pool by 4:00 pm. Works with lifeguard staff to prepare the pool area for home meets.

Parking Lot Attendant (Home Meets Only): Must be at the pool by 4:00 pm. Set up parking cones, let non swim team members out of parking lot & redirect traffic. Allow Meet Official, opposing team's directors and coaches, concessions deliveries (outside vendors), & Check-in Parent into the parking lot before meet.

Check-In Parent: Needs to be at meet location by 4:30 pm. Uses Nottaway roster & volunteer list to check in every Nottaway swimmer and volunteer as they enter the swim club and alert the coach/help track down those who are running late.

Event/Heat Board Operator(Home Meets Only): Tracks Events and Heats and shows them on the electronic Event/Heat board.

6 & Under Age Group Parent: Arrive by 5:30 pm. Responsible for lining up swimmers before their events (generally in the team bullpen/seating area) and getting them to the designated lineup area/behind the starting blocks prior to their event. One Age Group Parent also acts as final check of shallow-end relay swimmers. You are finished when all the 6 & U events are finished (event 36).

7-8 Under Age Group Parent: Arrive by 5:30 pm. Responsible for lining up swimmers before their events (generally in the team bullpen/seating area) and getting them to the designated lineup area/behind the starting blocks prior to their event. One Age Group Parent also acts as final check of shallow-end relay swimmers. This job counts double!

Lineup Area/Behind Starting Blocks Clerk: Checks the Nottaway swimmers who have already reported to the lineup area against the official heat sheet and lines up the swimmers by heat and lane in each of Nottaway's active lanes (generally odd lanes @ home, even lanes away). Must stay several events ahead of what is in the water. 

Clerk of Course (Home Meets Only): Responsible for final checks of ALL the swimmers behind the blocks using official heat sheets. Must stay several events ahead of what is in the water.

Head Timer (Home Meets Only): Starts two manual stopwatches for each race to act as a back-up in case an official timer's stopwatch fails.

Lane Timer: Confirms that the correct swimmer is on the blocks, times each heat (using electronic timing equipment, a manual stopwatch, or both), and records the times swum by the swimmers in their lane on the provided timer's sheets.

Place Judge:Records the place finishes as they see them on a final copy of the meet program (to confirm the order of finish established by the timers and timing equipment).

Timing Recorder/Runner (Home Meets Only): Responsible for picking up the finish judge form and delivering forms to computer operator.

Announcer (Home Meets Only): Controls PA system. Calls events, provides news and commentary, and delivers final score at end of meet. Announcer calls 3 events prior to the event in the water to the bullpen/blocks on 1st, 2nd & last call basis. 

Computer Operator: Runs computer system during the meet (we will help you learn how to do this!). If interested, we would love for you to shadow a seasoned computer operator. It’s always great to have new parent volunteers trained for this position.

Concessions - Worker (Home Meets Only): First half: Arrive by 5:00 to help set up, serve food, and collect money in the concession area. Second half: Arrive by 7:00 to serve remaining food and drink. Break down concession area and return items to pump room storage.
